## Ranking

### #1 MaintainX · 8.7/9.4
- Best for: Operations managers who want a maintenance tool built around work orders, with a free entry plan, published per-user prices and a mobile app their technicians will open.
- null · founded null · $ ($20 to $65 per user/month billed annually; free Basic plan)
- MaintainX ranks first because it publishes a full price ladder, from a free Basic plan to Premium at $65 per user per month on annual billing, and puts maintenance triggered by meter readings, parts inventory, purchase orders and an open REST API on a plan you can buy without a sales call.
- Pro: Work orders are unlimited on every plan, including the free one, and requester accounts cost nothing, so drivers and shop staff can raise issues without adding licences.
- Con: The pricing page lists no fleet-specific features in its plans. Fleet only shows up as an industry page and a DVIR integration. Maintenance triggered by meter readings and parts inventory need Premium, and attaching procedures to work orders is capped at 2 on Basic and 3 on Essential.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #2 Fiix · 8.3/9.4
- Best for: Maintenance teams that want a free CMMS to start, with unlimited parts inventory and a cheap step up to unlimited preventive maintenance.
- null · founded null · $$ ($45 to $75 per user/month; free plan with limits)
- Fiix is the best value general maintenance system on the list: the Free plan includes unlimited work orders, a mobile app and unlimited parts inventory, and Basic at $45 per user per month lifts the cap on preventive maintenance and adds pass/fail inspection.
- Pro: The Free plan carries 25 active preventive maintenance schedules and unlimited parts and supplies, enough to run a small shop for real before paying.
- Con: Fiix is a general CMMS and its pricing page does not describe vehicle-specific features. The page's feature table is also inconsistent about purchasing and RFQs, and Fiix MAX and operator licences are quote-only add-ons.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #3 UpKeep · 8.3/9.4
- Best for: Small to mid-sized maintenance teams that want a low published price per user and a free trial without a credit card.
- null · founded null · $ ($24 to $55 per user/month)
- UpKeep delivers unlimited work orders from $24 per user per month, with PM scheduling, custom checklists and parts inventory with costing at the $55 Premium tier. It sits below Fiix and MaintainX only because there's no permanent free plan and no fleet-specific feature list on the page.
- Pro: View-only, requester and third-party users don't need a paid licence, so contractors and drivers can be added without raising the bill.
- Con: The $24 Essential plan lists no PM scheduling, checklists or parts inventory. All three start at $55 Premium. Professional and Enterprise are quote-only. The page doesn't say whether the listed prices assume annual billing.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #4 Fleetio · 8.3/9.4
- Best for: Fleets that run or outsource their own service and want maintenance, inspections and parts in one fleet-native system.
- null · founded null · Pricing not published, quote only
- Fleetio is the strongest fleet-native option here: its own homepage covers work orders to plan, schedule and approve service, inspection forms, parts inventory and a Maintenance Shop Network. It ranks below the leaders mainly because the pages we could open show no price.
- Pro: The homepage states 1,300,000+ powered fleet assets and a 4.8/5 rating from 1,000+ reviews, and describes managing maintenance in-house, outsourced or both.
- Con: The pricing page returned HTTP 403 when opened, and the homepage links to pricing without showing a figure, so we can't state a cost. The homepage also doesn't name specific telematics partners.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #5 Limble CMMS · 8.2/9.4
- Best for: Teams that need PM triggered by meter readings, inspection checks and detailed parts control, and will accept a calculated quote rather than a posted price.
- null · founded null · Pricing not published, quote only
- Limble has the most complete feature breakdown by plan of any vendor here: unlimited recurring PMs and an AI-powered PM builder on Standard, meter and threshold scheduling and inspection checks on Premium+, and QR-coded parts with min/max and stale thresholds. The price is only available through a calculator.
- Pro: Premium+ adds procedures with inspection checks, automated corrective actions and part QR codes. Enterprise adds cycle counts, bulk reordering and transfers between locations.
- Con: No price, billing unit or free trial appears on the page. Each plan sends you to a Calculate my price tool. Parts inventory is not included on Standard, and Standard allows only 3 work orders a month with attached procedures.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #6 Whip Around · 7.8/9.4
- Best for: Fleets that start from the driver walkaround and want inspections, work orders and compliance workflows in one place.
- null · founded null · Pricing not published, quote only
- Whip Around is the pick if you want to start from inspections: customizable digital inspections, AI-assisted photo review, work orders, service schedules and DOT, state and company compliance workflows, with services triggered by mileage or engine hours from connected telematics.
- Pro: Named integrations include GPS Insight, Azuga, Platform Science and EROAD, and the page describes shop management with labor tracking, scheduling, approvals and billing.
- Con: The homepage links to a pricing page but shows no plan names or prices, and it doesn't mention parts inventory, which is a gap for fleets that stock their own parts. The free trial length isn't stated.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #7 RTA Fleet360 · 7.5/9.4
- Best for: Public sector and municipal fleets with in-house shops, motor pools and fuel systems to tie together.
- null · founded null · Pricing not published, quote only
- RTA Fleet360 is a fleet management information system aimed mainly at public sector fleets, with modules for Maintenance & Repair, Driver & Technician Inspections, Parts & Inventory, Service Requests, Motor Pool, Fuel and Budget & Cost Management.
- Pro: The page claims 750+ public sector fleets and a 4.5/5 average rating across Google, G2 and Capterra, and one customer reports automatic parts usage tracking and reorder triggers.
- Con: No prices are shown. The page doesn't describe a dedicated preventive maintenance module or detail work orders, and tires aren't mentioned.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #8 Chevin FleetWave · 7/9.4
- Best for: Mixed or multi-country fleets that want a configurable platform with a technician app and driver requests.
- null · founded null · Pricing not published, quote only
- FleetWave from Chevin pairs a Technician App and Driver App with a central system that tracks vehicle health, schedules maintenance and manages parts inventory, sold as two per-vehicle monthly plans, Core and Advanced.
- Pro: Drivers can request maintenance through the platform, technicians get an app for assigned tasks, and Smart Integrate and a FleetWave Store of prebuilt content are listed.
- Con: The page names two plans priced per vehicle per month but gives no figures. It never uses the terms preventive maintenance, work orders or inspections, so we can't confirm those from this page.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #9 Geotab · 6.8/9.4
- Best for: Fleets already running Geotab telematics that want its diagnostics driving work orders in the same system.
- null · founded null · Pricing not published, quote only
- Geotab's maintenance page covers work orders, recurring schedules and reminders, remote engine-fault monitoring prioritized by severity, predictive maintenance and cost reports, across 15,000+ makes and models including hybrid and electric vehicles.
- Pro: Faults are prioritized by severity, requests can become work orders, and mechanics see role-relevant data to spot parts or repair delays.
- Con: No price is published for the maintenance product, only Get pricing links. The page describes no parts inventory or inspection forms.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #10 Motive · 6/9.4
- Best for: Fleets already on Motive for ELD and tracking that want inspection forms and service reminders without a second tool.
- null · founded null · Pricing not published, quote only
- Motive's fleet management page offers customizable inspection forms by vehicle type, automatic service reminders, diagnostic trouble codes, and OEM data such as oil life and tire pressure on compatible vehicles. It's a maintenance feature set built into a telematics product, rather than a standalone maintenance system.
- Pro: Drivers complete an electronic DVIR, and managers can pull maintenance inspection history and vehicle utilization reports.
- Con: The page doesn't describe PM scheduling, work orders or parts inventory in detail, and it publishes no prices. It points to a separate maintenance page and sales.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry; none observed on the vendor pages read on 2026-10-12.

### #11 [WILDCARD, UNRATED] Simply Fleet
- Unrated by design. Selected by the wildcard signal model (wildcard-v2.0): https://topelevens.com/methodology/wildcard
- Signal read: This is the cheapest way I have found to put real maintenance schedules and inspections on a small fleet without paying per user.
  - under_the_radar (strong): The pricing page offers scheduling, inspection forms with signatures, fuel logging and parts inventory at $3 to $5 per vehicle per month, which is a lot of function for a product with no price anywhere near the per-user tools.
  - impact_density (exceptional): Five vehicles cost $15 a month on Essential or $25 on Advanced according to the plan cards, against $24 to $75 per user per month on the per-user tools ranked above.
  - category_fit_anomaly (strong): Pricing is per vehicle, not per user, so a fleet with 40 drivers and one manager is not penalised for seats.
  - ceiling_distance (notable): The page lists add-ons for telematics, fuel cards and small tools but no multi-site or enterprise tier, so a growing shop will reach the ceiling sooner than on Limble or MaintainX.
  - price_integrity_under_growth (mixed): The page states conflicting prices in its cards and FAQ and announces a price change on 15 September 2026, so the bill at renewal needs confirming in writing.
- Right for: The owner of a 10 to 40 vehicle service or delivery fleet who needs PM reminders and signed inspections now and has no maintenance planner.
- Wrong for: A multi-site operation or public fleet that needs a technician app, cycle counts and purchase orders.
- Best for: Small fleets of a few vehicles to a few dozen that want preventive maintenance, inspections and fuel logs for a few dollars per vehicle per month.
- null · founded null · $ ($3 to $5 per vehicle/month; see disclosure on conflicting figures)
- Simply Fleet charges per vehicle rather than per user, which suits a small fleet with many drivers and few managers. Essential ($3 per vehicle per month) covers preventive maintenance, inspections and fuel; Advanced ($5) adds work orders and parts inventory.
- Pro: A free trial for up to 5 vehicles needs no credit card, and annual billing is described as two months free.
- Con: The pricing page contradicts itself: the plan cards show $3 and $5 per vehicle per month while the FAQ says $2 and $4, and the page says pricing changes on 15 September 2026, a date already past at the time we read it. Work orders are not on the Essential plan.
- Risk signals (none, checked 2026-10-12): No risk-signal search was run for this entry. None observed on the vendor pages read on 2026-10-12.

## FAQ

**How much does fleet maintenance software cost?**

On the pages we opened, published prices ran from free to $75 per user per month. MaintainX lists a free Basic plan, Essential at $20 (annual) or $25 (monthly) and Premium at $65 or $75 per user per month. Fiix lists a Free plan, Basic at $45 and Professional at $75 per user per month. UpKeep lists Essential at $24 and Premium at $55 per user per month. Simply Fleet lists $3 and $5 per vehicle per month on its plan cards. Fleetio, Limble, Whip Around, RTA Fleet360, Chevin FleetWave, Geotab and Motive showed no price on the pages we could read, so quote only.

**Is there a free fleet maintenance software?**

Two of the vendors we read have a permanent free plan: MaintainX Basic and Fiix Free. MaintainX Basic includes unlimited work orders and requester users with only 2 active repeating work orders. Fiix Free includes unlimited work orders, 25 active PMs and unlimited parts and supplies, for limited users. UpKeep and Simply Fleet offer trials rather than free plans, and Simply Fleet's page mentions a free trial for up to 5 vehicles with no credit card. A free plan is a good way to test your own data, but check the caps before moving the whole fleet onto it.

**Can I use a general CMMS for a vehicle fleet?**

Yes, with caveats. Fiix, UpKeep, Limble and MaintainX all handle work orders, PMs and parts for any asset. They may lack structure built for vehicles: schedules tied to the odometer through a telematics unit, driver inspections in the DVIR style, history by VIN, and fuel logging. On the pages we read, MaintainX mentions a fleet DVIR integration and a fleet maintenance industry page, and Limble lists meter and threshold scheduling. Ask each vendor to show a vehicle, not a pump, in the demo.

**How long does implementation take?**

We did not find onboarding times stated on the vendor pages we read, so we do not publish figures. Your own timeline depends on how clean your asset list is. A reasonable plan is to load the vehicles, build five to ten of your most common PM templates, pilot with one location or crew, and expand once technicians use it unprompted. Ask each vendor for their implementation timeline in writing.

**What happens to my data if I leave?**

Export terms were not stated on the pages we read, so we cannot rate them. Before you sign, ask whether you can export work orders, PM history, parts and inspection records in a usable format such as CSV, and whether export is available on every plan or only the top tier.

**Should a small fleet pay for an enterprise plan?**

Rarely. Enterprise tiers on the pages we read add features such as SSO, multi-site management, custom permissions and audit trails. They matter to a multi-location operation with security review but do little for a ten-vehicle shop. The middle plan is usually where PM scheduling, parts and inspections land, and it is the one to price carefully.
