This is the clearest example I found of a cheap, adjacent tool that cuts equipment-driven quality problems before they reach a QMS.

The ten above are scored against the public rubric. The wildcard answers a different question, so it carries no score. It is selected by the wildcard signal model (wildcard-v2.0), read 2026-10-19.

Under-the-radar coefficientnotable
It sits in the maintenance category, so it rarely appears in quality software shortlists.
Impact densitystrong
A free plan and $45 per user per month Basic give preventive maintenance and downtime tracking at very low cost.
Category fit anomalystrong
It is a maintenance system, not quality software, so it complements a QMS rather than replacing one.
Ceiling distancenotable
E-signatures and audit trail only appear on Enterprise, which is quote only.
Price integrity under growthmixed
Per-user pricing is clear, but the page states no user caps and several integration items cost extra.

Right for

A plant with 5 to 30 people where machine downtime and drift cause scrap and rework.

Wrong for

A manufacturer that needs controlled documents, CAPA and audit records for ISO 9001 or FDA.

Buyer's guide

What is quality management software for manufacturers?

Quality management software, or QMS software, is the system that holds the rules and records of how a plant keeps product to spec. For a small manufacturer that usually means four jobs. First, document control, so the work instruction on the floor is the approved one. Second, nonconformance and corrective action, so a bad batch or a customer complaint gets logged, investigated and closed. Third, inspection and process data, such as first article reports and statistical process control charts. Fourth, supplier and audit records, so you can show an auditor or customer what you did. Products do not all cover all four. On the pages we opened, ETQ Reliance describes document control, CAPA, audit, training and supplier quality as apps on one platform, 1factory covers inspection, FAI, SPC and a QMS, InfinityQS concentrates on SPC, and Dozuki and Fiix sit beside quality rather than inside it. Before you compare prices, write down which of the four jobs hurts most today.

Do I need a full QMS or just SPC and inspection tools?

It depends on what you are audited against and where your defects come from. If a customer or regulator asks for controlled documents, training records, CAPA and internal audits, you need a QMS. ISO 9001, IATF 16949, AS9100 and FDA rules all lean on those records. If your problem is scrap and variation on the line, an SPC and inspection tool does more for the money. InfinityQS describes real-time SPC with automated data collection from equipment, and 1factory lists first article inspection, gage tools and Cp and Cpk. Many plants end up with both: a document and CAPA system, plus inspection or SPC on the floor. Ask each vendor how the two exchange data, because a nonconformance found on the line that has to be retyped into a CAPA record is where good intentions die.

Why are most prices on this list missing?

Because most quality vendors sell by quote. Of the eleven pages we opened, only SimplerQMS shows a starting figure for a full QMS, USD 17,500 per year for up to 15 users, and Fiix shows per-user prices for a maintenance product that is not a QMS. ETQ says its fees depend on users, modules or sites. QT9 says its quote depends on concurrent licenses, number of facilities and deployment type. Qualio shows plan names and seat limits but no amounts, and notes an implementation fee on every plan. We publish no number where a page showed none. For your own budget, ask for a written quote that lists the license, implementation, validation, training and annual support lines separately, and ask what happens to the price when you add a second site.

What does validation mean, and do small manufacturers need it?

Validation is the evidence that the software does what it is meant to do, usually documented as installation, operational and performance qualification (IQ, OQ and PQ). It matters if you are covered by FDA rules such as 21 CFR Part 11 or 820, or the EU equivalent in Annex 11. A general metal shop under ISO 9001 does not need it in the same way. On the pages we read, SimplerQMS says validation is included at no extra charge and kept up through updates, and QT9 describes both of its products as pre-validated. MasterControl says its document control is 21 CFR Part 11 compliant. If you are regulated, ask who owns the validation paperwork after each software release, because that recurring work is a hidden cost. If you are not, do not pay for it.

How long does a QMS take to put in place?

Longer than the demo suggests. The only timing we found on a vendor page is from ETQ's FAQ, which says implementation runs from a few weeks for a basic setup to a few months for a multi-site rollout. Most of the effort is yours, not the vendor's: cleaning up the document list, deciding who approves what, mapping your corrective action steps and migrating old records. Vendors that include data migration, live training or implementation in the price, such as SimplerQMS on the page we read, take some of that load, but the decisions stay with you. Start with one process, usually document control or nonconformance, get it running for a quarter, then add suppliers and audits. Trying to switch on forty apps in the first month is how small teams end up with a system nobody opens.

Should the QMS connect to our ERP or shop-floor systems?

Ideally yes for the handoffs that matter: a part number, a work order and a supplier lot. ETQ lists ERP, PLM, CRM and MES integrations with REST APIs. SimplerQMS lists CRM, ERP and Jira, plus Microsoft 365 editing. QT9 sells its own ERP alongside its QMS, which avoids the connection question if you are willing to move both. 1factory mentions CMM and vision system data capture. For the rest, the pages are thin, and MasterControl shows ERP and MRP as menu links only. Ask for a named customer who runs your ERP with the product, and ask what is included and what costs extra, since Fiix, for example, lists its Integration Hub and custom API work as extra-cost items. A QMS that stands alone can still work if exports are clean and you accept some manual steps.

How to choose

  1. 1First, name the audit you are preparing for. ISO 9001, IATF 16949, AS9100 and FDA rules each ask for slightly different records, and the product should name the standard you face on its own page. If a page does not name it, ask in writing.
  2. 2Second, match the product to where your pain is. If your problem is paperwork and audits, start with document control and CAPA. If it is scrap and rework, start with inspection and SPC. Do not buy a platform for the job you do not have.
  3. 3Third, price your own plant, not the card. Seats, concurrent licenses, modules, sites and deployment all change the quote, and the units differ between vendors, so they do not compare directly. Ask for the license, implementation, validation, training and support lines in writing.
  4. 4Fourth, run one real nonconformance through the demo: log it, route an investigation, attach evidence, close the corrective action and pull the report an auditor would ask for. If any step needs a workaround, that is how your team will feel it every week.
  5. 5Finally, ask who owns the data and how you leave. Your records are the asset, and you should be able to export documents, training history and CAPA files in a usable format if you switch.
Frequently asked

How much does quality management software cost for a small manufacturer?

On the pages we opened, SimplerQMS is the only full QMS with a stated starting price: USD 17,500 per year for up to 15 users. Fiix shows $45 and $75 per user per month for maintenance software, not a QMS. MasterControl, ETQ, QT9, Qualio, Veeva, Greenlight Guru, 1factory, InfinityQS and Dozuki showed no price on the pages we could open, so treat them as quote only and ask for the implementation and validation lines too.

Is there free quality management software for manufacturers?

Not a full QMS on the pages we read. Fiix offers a free maintenance plan with limited users, which helps with equipment records but not document control or CAPA. SimplerQMS lists free read-only Viewer licenses for auditors and collaborators, but its paid plan starts at USD 17,500 per year. We did not find a free QMS plan on any other page.

What is the difference between a QMS and an SPC tool?

A QMS holds documents, training, nonconformances, corrective actions and audits. An SPC tool collects measurements from the process and charts variation so you can act before parts go out of spec. InfinityQS is described on its page as an SPC platform, and 1factory lists both SPC and QMS modules. Plants often use both, so ask how they connect.

Which of these tools suit non-regulated manufacturers?

ETQ Reliance, 1factory, QT9, MasterControl and InfinityQS all name industrial standards or general manufacturing use on the pages we read. SimplerQMS, Qualio, Greenlight Guru and Veeva Vault QMS are written for life sciences or medical devices, so a general fabricator may be paying for features it does not need.

Why are Arena, Intellect and Plex missing?

Arena's QMS page failed to load because the response was too large. Intellect returned HTTP 403 on its pricing page. We did not attempt Plex. We publish nothing about those vendors rather than guess, and we will retry them at the next review.

How often is this list updated?

We re-score every 90 days, and the next review is 2027-01-17. If a vendor changes a price or retires a plan before then, the list may be out of date, so confirm every figure on the vendor's own page before you buy.

How this was scored

Every entry is scored on a 9.4-point scale across 6 weighted criteria, reviewed quarterly. Top 11 takes no payment from any provider on this list. Scores come from a public weighted rubric, and the methodology weights were locked before entry research began. Re-scored every 90 days.

  • Every price and feature in this list comes from a vendor page opened on 2026-10-19. If a page returned an error, redirected, or showed no number, we say so and publish no price. We did not use review sites for facts.
  • Some candidates could not be read and are not ranked. Arena's QMS page returned a response too large to process, Intellect returned HTTP 403, and we did not attempt Plex. InfinityQS /pricing returned 404 on one attempt, and we read its product page on Advantive instead. ETQ's old address redirects to Octave, whose page we read.
  • Founding year, headquarters, headcount and funding were not read on the vendor pages, so those fields are left empty rather than filled in from memory.
  • Only two entries show any figure. SimplerQMS states USD 17,500 per year as a starting price for up to 15 users, and Fiix lists $45 and $75 per user per month, but Fiix is a maintenance system and is unrated. Every other price is quote only on the pages we opened.
  • SimplerQMS gives two storage figures on its page, 150,000 documents and 200 GB, and does not reconcile them. Veeva counts customers as 100 or more in one place and more than 300 in another. Confirm both with the vendor.
  • Scores are an AI editorial judgement against the published rubric, using only the pages we read. Entries without published prices score lower on Pricing Transparency by design, which is a statement about the page and not the product. Specialist and adjacent tools score low on criteria their pages do not describe.
  • No vendor has paid for placement. Scores are not a measure of customer satisfaction.

Methodology v1.0 weights Document Control & Compliance Workflows (25%), CAPA & Nonconformance (20%), Inspection, SPC & Shop-Floor Quality (15%), Pricing Transparency & TCO (15%), Supplier Quality & Audit (15%), and Integrations & Deployment (10%). The #11 wildcard is unrated and selected by the wildcard signal model (wildcard-v2.0).
