MaintainX vs Fleetio vs Fiix: 11 Best Fleet Maintenance Software 2026

This ranking covers tools built for maintenance first: preventive maintenance, work orders, inspections and parts for operations managers, scored on what each vendor's own pages show.

By Updated 14+ screened, 11 rankedNo paid placement

The short answer

The best fleet maintenance software for most operations managers is MaintainX, followed by Fiix and UpKeep. MaintainX and Fiix are the two with published prices starting at a free plan. Several fleet-native vendors, including Fleetio, show no price on the pages we could open.

Simply Fleet

This is the cheapest way I have found to put real maintenance schedules and inspections on a small fleet without paying per user.

Under-the-radar coefficientstrong
The pricing page offers scheduling, inspection forms with signatures, fuel logging and parts inventory at $3 to $5 per vehicle per month, which is a lot of function for a product with no price anywhere near the per-user tools.
Impact densityexceptional
Five vehicles cost $15 a month on Essential or $25 on Advanced according to the plan cards, against $24 to $75 per user per month on the per-user tools ranked above.
Category fit anomalystrong
Pricing is per vehicle, not per user, so a fleet with 40 drivers and one manager is not penalised for seats.
Ceiling distancenotable
The page lists add-ons for telematics, fuel cards and small tools but no multi-site or enterprise tier, so a growing shop will reach the ceiling sooner than on Limble or MaintainX.
Price integrity under growthmixed
The page states conflicting prices in its cards and FAQ and announces a price change on 15 September 2026, so the bill at renewal needs confirming in writing.

Buyer's guide

What is fleet maintenance software?

Fleet maintenance software keeps the service record for every vehicle and tells you what is due. It does four jobs: it schedules preventive maintenance by date, meter reading or engine hours; it manages work orders from the moment a driver reports a problem to the moment a technician closes the job; it collects inspection results, usually through a digital driver vehicle inspection report; and it tracks parts so the shop does not run out of what it uses most. Some products are built for vehicles from the start, such as Fleetio and Whip Around. Others are general maintenance systems, often called CMMS, such as Fiix, UpKeep, Limble and MaintainX, which handle vehicles as one kind of asset. A third group, including Geotab and Motive, sells maintenance as a module inside a telematics product.

How is this different from fleet management software?

Fleet management software, covered in our separate fleet management list, starts with location, driver behaviour and compliance, and treats maintenance as one module among several. This list starts from the shop. It asks whether a work order can be raised, approved and closed, whether a recurring service is generated without anyone remembering it, and whether a part used on a job is deducted from stock. A fleet management platform with GPS and cameras can win its list while offering only service reminders. A tool built around maintenance can win this one without owning a single piece of hardware, and most of the vendors here accept mileage or engine hours from a telematics system you already have.

Per-user or per-vehicle pricing: which is cheaper?

It depends on the ratio of people to vehicles. Per-user pricing, used by MaintainX, UpKeep and Fiix, favours a fleet of many vehicles managed by a few people, because drivers and requesters can often be added free. On the pages we read, MaintainX requester accounts are free and UpKeep view-only and requester users do not need a paid licence. Per-vehicle pricing, which Chevin describes for FleetWave and which Simply Fleet publishes, favours a small fleet with a large pool of drivers who all need access. To compare, count the people who will create or close work orders, count the vehicles, and price both models at that size. Do the sum with the plan that includes the features you need, not the cheapest card on the page.

What should preventive maintenance scheduling include?

Three triggers matter: calendar intervals, meter intervals such as miles or hours, and triggers based on a condition such as a fault code. Calendar-only scheduling is on almost every tool. Scheduling by meter is usually held back for a higher plan: MaintainX lists meter-based maintenance on Premium, and Limble lists meter and threshold scheduling on Premium+. Also check how many recurring schedules the entry plan allows. The Fiix Free plan allows 25 active PMs, and MaintainX Basic allows 2 active repeating work orders. A limit that looks generous for five vehicles can be exhausted by twenty.

Why do inspections matter for maintenance?

Most breakdown reports start as a driver noticing something, and the inspection is where that observation becomes a record. A digital inspection with required fields, photos and a signature is easier to audit than a paper form, and a failed item can create a work order without retyping. Whip Around is built around this flow and describes AI-assisted review of inspection photos. Limble lists procedures with inspection checks on Premium+, and Fiix lists pass/fail inspection from its Basic plan. Ask in the demo what happens to a failed check: does it open a work order, notify someone, or just sit in a report?

Do I need telematics to use maintenance software?

No. Several tools here run on manual meter readings entered by drivers or technicians. Telematics improves accuracy, because mileage and engine hours arrive automatically and fault codes can raise issues before a driver notices. Whip Around names GPS Insight, Azuga, Platform Science and EROAD as integrations, and Geotab and Motive provide diagnostics inside their own platforms. If you already pay for telematics, check which maintenance tool reads its data, and whether that connection costs extra. If you do not, a maintenance tool alone is a legitimate and cheaper first step.

How to choose

  1. 1First, decide who the work order lives with. If your own technicians close jobs, favour a tool with a strong mobile app and parts tracking. If you send vehicles to outside shops, favour one that records external service and cost per vehicle, as Fleetio describes with its Maintenance Shop Network.
  2. 2Second, price the plan that has the features you need, not the entry card. On the pages we read, parts inventory, scheduling by meter, or PM scheduling sit on the second or third tier at MaintainX, UpKeep and Limble.
  3. 3Third, count users and vehicles. Per-user tools reward small teams with large fleets, and per-vehicle tools reward the opposite.
  4. 4Fourth, test the failure path in the demo: report a defect from a driver account, watch it become a work order, assign it, add a part, close it, and open the cost report. If any step needs a workaround, that is how your team will experience the tool every day.
  5. 5Finally, ask for export rights in writing. Service history is the asset you are building, and you should be able to take it with you.
Frequently asked

How much does fleet maintenance software cost?

On the pages we opened, published prices ran from free to $75 per user per month. MaintainX lists a free Basic plan, Essential at $20 (annual) or $25 (monthly) and Premium at $65 or $75 per user per month. Fiix lists a Free plan, Basic at $45 and Professional at $75 per user per month. UpKeep lists Essential at $24 and Premium at $55 per user per month. Simply Fleet lists $3 and $5 per vehicle per month on its plan cards. Fleetio, Limble, Whip Around, RTA Fleet360, Chevin FleetWave, Geotab and Motive showed no price on the pages we could read, so quote only.

Is there a free fleet maintenance software?

Two of the vendors we read have a permanent free plan: MaintainX Basic and Fiix Free. MaintainX Basic includes unlimited work orders and requester users with only 2 active repeating work orders. Fiix Free includes unlimited work orders, 25 active PMs and unlimited parts and supplies, for limited users. UpKeep and Simply Fleet offer trials rather than free plans, and Simply Fleet's page mentions a free trial for up to 5 vehicles with no credit card. A free plan is a good way to test your own data, but check the caps before moving the whole fleet onto it.

Can I use a general CMMS for a vehicle fleet?

Yes, with caveats. Fiix, UpKeep, Limble and MaintainX all handle work orders, PMs and parts for any asset. They may lack structure built for vehicles: schedules tied to the odometer through a telematics unit, driver inspections in the DVIR style, history by VIN, and fuel logging. On the pages we read, MaintainX mentions a fleet DVIR integration and a fleet maintenance industry page, and Limble lists meter and threshold scheduling. Ask each vendor to show a vehicle, not a pump, in the demo.

How long does implementation take?

We did not find onboarding times stated on the vendor pages we read, so we do not publish figures. Your own timeline depends on how clean your asset list is. A reasonable plan is to load the vehicles, build five to ten of your most common PM templates, pilot with one location or crew, and expand once technicians use it unprompted. Ask each vendor for their implementation timeline in writing.

What happens to my data if I leave?

Export terms were not stated on the pages we read, so we cannot rate them. Before you sign, ask whether you can export work orders, PM history, parts and inspection records in a usable format such as CSV, and whether export is available on every plan or only the top tier.

Should a small fleet pay for an enterprise plan?

Rarely. Enterprise tiers on the pages we read add features such as SSO, multi-site management, custom permissions and audit trails. They matter to a multi-location operation with security review but do little for a ten-vehicle shop. The middle plan is usually where PM scheduling, parts and inspections land, and it is the one to price carefully.

How this was scored

Every entry is scored on a 9.4-point scale across 6 weighted criteria, reviewed quarterly. Top 11 takes no payment from any provider on this list. Scores come from a public weighted rubric, and the methodology weights were locked before entry research began. Re-scored every 90 days.

  • Every price and feature in this list comes from a vendor page opened on 2026-10-12. If a page returned an error, redirected, or showed no number, we say so and publish no price. We did not use review sites for facts.
  • Several important vendors could not be read in full. Fleetio's pricing page returned HTTP 403; the Fleet Complete, Dossier, Samsara and Verizon Connect maintenance pages were blocked, missing or had an expired certificate when we tried, so they are not ranked.
  • Founding year, headquarters, headcount and funding weren't read on the vendor pages, so those fields are left empty rather than filled in from memory.
  • Prices differ in unit: per user for MaintainX, UpKeep and Fiix, per vehicle for Simply Fleet. They're not directly comparable, so price them at your own fleet size. MaintainX's annual prices are used as the lower bound of its range.
  • Simply Fleet's pricing page conflicts with itself ($3 and $5 on the cards, $2 and $4 in the FAQ) and mentions a price change on 15 September 2026. Confirm the figures in writing before relying on them.
  • Scores are an AI editorial judgement against the published rubric, using only the pages we read. Entries without published prices score lower on Pricing Transparency by design. That's a statement about the page, not the product.
  • No vendor has paid for placement. Scores are not a measure of customer satisfaction.
