Only 60 percent of dentists report having an adequate number of dental hygienists on staff, and among those recruiting, 91 percent said it was very or extremely challenging. For dental assistants and administrative staff a higher share of dentists report adequacy, so the front desk is the easier hire of the three and is still hard.

Is an AI receptionist HIPAA compliant?
It depends entirely on the vendor, and only two of the ten state it. Weave states HIPAA compliance on its AI Receptionist page. Dental Intelligence states HIPAA, SOC 2 and PCI. The other eight carry no HIPAA statement on the pages read on 16 September 2026, which is not the same as being non compliant, but it does mean the practice has to ask for a business associate agreement before the agent hears a patient's name. The American Dental Association's own definition covers any company that needs access to protected health information to do a task for the practice, and an agent reading the appointment book qualifies.
Should a single location practice buy one at all?
Test it on the after hours line first, for one month, at the cheapest tier that publishes a price. Rosie at $49 or RingCentral at $39 will tell you within four weeks how many people were ringing when nobody was there, what they wanted and how many booked. That number is the business case, and it is specific to your practice rather than borrowed from a vendor case study. If it comes back at two new patients a month, buy the dental specialist and pay for the integration. If it comes back at one call a week, keep the $49 product and spend the difference on the recall list.
Why do so many of the dental specialists refuse to publish a price?
Because the integration is the cost, and it varies. A cloud practice management system with an open interface is a different job from an on premise Dentrix install that needs a local bridge on the practice's own server, and a vendor quoting one price for both loses money on half its customers. That is the honest reading. The less flattering one is that a category where four of the five specialists hide their pricing is a category where discounting is heavy and the first quote is not the last. Either way it costs each of them the full 20 percent this rubric puts on a readable price, and it is why a $39 phone tree replacement outranks products that are better at dentistry.
How to choose
- 1Count the calls before you count the vendors. Pull last month's call log from your phone provider and count how many rang out, how many were after 17:00 and how many were new numbers. That is three figures, it takes twenty minutes, and it decides everything below. A practice missing four calls a week does not have a $299 problem.
- 2Ask each vendor one question in writing: when your agent books an appointment, which system's database changes, and does a human touch it? Anything that is not a named system and a plain no is a maybe, and a maybe means your front desk types it in the morning.
- 3Ask for the business associate agreement before the demo, not after. If the vendor does not know what you mean, you have your answer and you have saved an hour.
- 4Price the meter against your own volume, not the vendor's example. 100 included minutes at RingCentral is about 25 four minute calls. 200 at My AI Front Desk is about 50. A practice taking 40 calls a day at four minutes a call passes both on the first day, and the cheap plan stops being cheap.

What is the difference between Weave and Arini?
Weave is a listed company selling the whole front office, phones, texting, payments and AI, from a published $199 a month platform, and it bought its AI receptionist by acquiring TrueLark for $35 million in May 2025. Arini is a 2024 startup from Y Combinator's Winter 2024 batch with 17 people, doing dental inbound calls and nothing else, publishing no price and naming no integration on its own site. Weave is the lower risk purchase. Arini will build round your workflow.
