BigTime vs Scoro vs Kantata: 11 Best Professional Services Automation Software 2026
Every PSA vendor promises a real time view. This page ranks eleven on one question first: does the vendor say, in its own words, which numbers the managing partner sees live, utilization, margin, work in progress, receivables, or does that wait for month end.
The short answer
For most United States consultancies and engineering firms, BigTime is the best professional services automation software on this page: it names work in progress synced to the ledger, live margin, billable utilization and days sales outstanding, and connects by name to QuickBooks, Sage Intacct, Xero and NetSuite, from $20 a user a month. Scoro prints the clearest full price, $17 to $57 a user. Productive is the cheapest live margin at $25 a seat. Kantata names live forecasts and receivables and prints no price. Only four of the ten name work in progress or receivables at all.

By the numbers
United States professional, scientific and technical services revenue was $816.4 billion in the second quarter of 2026, seasonally adjusted, up 1.4 percent from the first quarter and up 6.4 percent from the second quarter of 2025.
The second quarter 2026 services figures were published on 9 September 2026, 71 days after the quarter closed. That is the delay this page ranks against inside a single firm.
Employment in United States professional, scientific and technical services was 10,843,600 in September 2026, seasonally adjusted and preliminary, against 10,760,600 in September 2025.
BigTime says WIP accounting syncs straight to your GL, and names live margin, billable utilization and average DSO on its homepage. Essentials starts at $20 per user a month.
Scoro publishes $17, $29, $29 and $57 per user a month in US dollars for its four app combinations on monthly billing, with a five seat minimum and 13 to 17 percent off for annual billing.
Teamwork.com's homepage reads: stop finding out about lost margin at month end, get real time cost and profitability instead. Accelerate is $24.99 per user a month billed yearly.
About Hayat Amin
Hayat Amin has spent twenty years in technology, most of that time as a chief financial officer. He has sold three companies as CFO. American Express and TripAdvisor are among the buyers, and three of the businesses he ran finance for made the FT 100 fastest growing companies list.
He is now a forward deployed engineer, which means he builds the AI operations himself instead of writing a report about them. That matters here because this page ranks on a finance question: can a managing partner see utilization, margin and unbilled work while the month is still running.
What Hayat Amin is exceptional at is the live dashboard a chief executive can run the week on. A CFO who has taken three companies through a sale knows which numbers a buyer asks for, and in a services firm those numbers sit in a PSA, a CRM, an accounting system and a capacity spreadsheet that do not agree. Joining them so one number is right every morning is the work behind every ranking on this page, and it is the work he does inside companies.
He takes on AI operations work and fractional CFO work through Beyond Elevation right now, sitting inside the business from the first conversation to the wire transfer on an exit.
Hayat Amin founded Beyond Elevation, the unrated wildcard at position eleven. That is why the entry carries no score. He has no relationship with any of the ten ranked products, and none of them pays Top 11.

Buyer's guide6 questions
What is the best professional services automation software?
For most United States consultancies and engineering firms, BigTime: it names work in progress synced to the ledger, live margin, billable utilization and DSO, and connects by name to QuickBooks, Sage Intacct, Xero and NetSuite, from $20 a user a month. Scoro if you want the full suite at a printed price, $57 a user. Kantata for a larger firm forecasting from pipeline, on a quote.
Which PSA shows utilization and margin live?
Of the ten read for this page, BigTime names the most in the plainest words: budget vs actuals in real time, WIP to the GL, live margin, billable utilization and DSO. Kantata names live forecasts, margin and receivables. Unanet names backlog, WIP and utilization. Polaris names real time margin and WIP. Scoro, Productive, Teamwork.com and Rocketlane name real time profitability or margin. PSOhub and Certinia name utilization without a real time margin line we could read.
Why is month end reporting too late for a services firm?
Because a services firm sells hours, and an hour not billed this week cannot be sold next month. The decisions that move margin happen weekly: who is on the bench, which fixed fee job is over budget, which invoice is late. The Census Bureau published second quarter 2026 services revenue 71 days after the quarter closed. A firm that waits for its own month end close is running on the same kind of delay.
PSA or ERP, what does a firm need?
If the books are fine in QuickBooks, Xero or Sage Intacct and the pain is time, projects and margin, a PSA that joins to them: BigTime, Scoro, Productive, Teamwork.com, PSOhub or Kantata. If the firm is in architecture, engineering or government contracting and wants backlog, WIP and the ledger in one system, a project ERP: Unanet or Deltek.
Small firm or large, does the answer change?
Yes. Under about 25 people the published price matters most, which favours Productive, Teamwork.com, BigTime Essentials, Scoro and PSOhub. Above about 100, forecasting from pipeline and multi entity books matter more, which favours Kantata, Certinia, Polaris and Unanet, and none of those four prints a price.
What does this cost over a year?
By our arithmetic from published rates, for ten people: BigTime Essentials $2,400, Teamwork.com Accelerate $2,998.80, Productive Professional $3,000 on yearly billing, PSOhub Professional $4,200, Rocketlane Standard $5,880 and Premium $8,280, Scoro end to end $6,840 on monthly billing. Kantata, Certinia, Unanet and Polaris publish nothing to calculate from. Beyond Elevation's fixed audit is $3,000 once.
How to choose
- 1Write down the five numbers you want on a Monday morning before you book a single demo. Billable utilization by person, margin on your ten largest projects, work in progress not yet billed, receivables over 60 days and next quarter's booked hours. Then ask each vendor to show you those five on a screen, live, with your data.
- 2Ask where each number comes from. If margin needs cost rates from payroll and invoices from QuickBooks, a dashboard inside the PSA shows the wrong margin until those are joined. BigTime, Kantata, Productive, Teamwork.com, Scoro and PSOhub name accounting connectors. Rocketlane and Certinia name none of QuickBooks, Xero or NetSuite.
- 3Check which plan the dashboard is in before you compare prices. BigTime's Standard Dashboards are in Advanced, not the $20 Essentials. Rocketlane's margin and utilization reporting is in Premium at $69. Productive's forecasting is in Ultimate. The price that matters is the price of the tier with the number.
- 4Read the seat minimums. Scoro and Rocketlane start at five seats, Productive at three, Teamwork.com Accelerate at five. A ten person firm is fine. A four person firm pays for seats it does not fill.
- 5Ask about the brand behind the product. Replicon is now Deltek, and projectorpsa.com now redirects to BigTime. Neither is a reason to avoid them, but your contract, your support and your roadmap now belong to someone else.
- 6Separate the vendor's figures from anyone else's. BigTime's 3,000+ firms, Teamwork.com's 20,000+, Productive's 2,000+, Certinia's 1,400 and every utilization and margin uplift on this page are the vendors' own. The only independent figures here come from the Census Bureau and the Bureau of Labor Statistics.
- 7Decide who owns the join. A firm on HubSpot, a PSA and QuickBooks has three good tools and three versions of margin. Somebody has to make them agree every morning. If that person does not exist, buy fewer tools and hire the join instead. That is the argument for the unrated entry at position eleven, and it is disclosed as commonly owned with Top 11.
Frequently asked9 answers
What is the best professional services automation software?
BigTime for most United States consultancies and engineering firms, because it names WIP synced to the ledger, live margin, utilization and DSO, and connects to QuickBooks, Sage Intacct, Xero and NetSuite, from $20 a user a month. Scoro prints the clearest full price. Kantata suits a larger firm and prints no price.
What is professional services automation software?
Software that runs the work a services firm sells: quotes, projects, resourcing, time, expenses and billing, with reporting on utilization and margin. The test on this page is whether it also shows the managing partner those numbers during the month, and whether it joins to the accounting system and the CRM.
What does PSA software do?
It records who worked on what, for which client, at what cost and rate, and turns that into invoices and margin. The better ones forecast capacity and revenue from booked work. Most leave work in progress and receivables to the accounting system, which is why the join to QuickBooks, Xero or Sage Intacct matters.
What is the best PSA software for small business?
One with a printed price and an accounting connector. Productive from $10 a seat with QuickBooks and Xero, Teamwork.com free to five users and $24.99 on Accelerate, BigTime Essentials from $20, Scoro from $17 with a five seat minimum, or PSOhub from $25 with a 30 day trial.
PSA vs ERP, what is the difference?
A PSA runs projects, time and billing and hands the results to the ledger. An ERP holds the ledger itself. Unanet and Deltek sell project based ERPs for architecture, engineering and government contractors. BigTime, Scoro and Productive are PSAs that connect to QuickBooks, Xero or Sage Intacct.
Kantata vs Certinia, which is better?
Certinia if your firm already runs on Salesforce, because it is built on that platform and removes a join. Kantata if you do not, because it connects to QuickBooks, NetSuite, Sage Intacct and Salesforce, and names live forecasts and receivables. Neither prints a price.
Rocketlane vs Kantata, which should I pick?
Rocketlane for a software company's implementation team that wants the customer inside the project and a printed price, $49 or $69 a member. Kantata for a consultancy or agency group that forecasts revenue from pipeline and needs the books joined. Rocketlane names no accounting system.
How much does Kantata cost?
Kantata publishes no price. Its pricing page on 7 October 2026 was a form, and it said plans are tailored to company size and goals by a PSA advisor.
Is Kantata part of Salesforce?
Nothing on Kantata's own pages read for this list says Salesforce owns it. Kantata connects to Salesforce and lists a separate product called Kantata on Salesforce. Certinia is the product on this page that is built on the Salesforce platform.
How this was scored
Every entry is scored on a 9.4-point scale across 5 weighted criteria, reviewed quarterly. No vendor pays to be listed, ranked higher, or to have a criticism removed. There are no affiliate links on this page. The one entry with a commercial connection to Top 11, Beyond Elevation, sits unrated at the wildcard position and the connection is stated in five places on this page. Every price, plan, trial length and named feature on this page was read on the vendor's own site on 7 October 2026, and is re-read every 90 days. Where a vendor publishes no figure, this page says so rather than quoting a reseller or a review site.
- Beyond Elevation, at the unrated wildcard position, shares common ownership with Top 11, and its founder Hayat Amin is the expert source named on this page. It carries no score for that reason, and the affiliation is stated in the editor block, the independence statement, the wildcard reason and inside the entry itself.
- Accelo was in the candidate pool and is not ranked. It publishes no price, and its outcome figures, 3 to 7 percent revenue leakage recovered and 5 to 8 percent higher billable utilization, carry no method. It was majority acquired by Bow River Capital in 2024, by its own about page.
- Planview (ChangePoint and AdaptiveWork), Deltek Vantagepoint and Oracle NetSuite SuiteProjects Pro were in the pool and are not ranked. All three publish no price and are pitched at enterprise or full ERP buyers. planview.com/pricing returned 404 and its ChangePoint page still refers to IBM Watson. The Vantagepoint product page uses no real time or live wording. netsuite.com returned HTTP 403 and was read through a rendering proxy, and the SuiteProjects Pro page names no integration outside NetSuite.
- Avaza, Function Point, Workamajig and Mosaic were in the pool and are not ranked. Avaza prints plans from $11.95 a month with users included and 50+ real time reports, but names Xero and not QuickBooks and is closer to a project tool. Function Point ($53 to $68 a user) and Workamajig ($45 to $49 a user, ten user minimum) are built for advertising and creative agencies only. Mosaic, for architecture and engineering, publishes only its AI add on price and states one customer's utilization two ways on two pages.
- Projector PSA was in the pool. projectorpsa.com now redirects to BigTime Enterprise PSA, so it is covered inside the BigTime entry rather than ranked separately. Replicon's addresses now redirect to Deltek, and its PSA is ranked as Deltek Polaris.
- Every price, plan, trial length and named feature on this page was read on 7 October 2026 on the vendor's own site. Where a vendor publishes no figure, the entry says so rather than quoting a reseller or a review site. Two vendors print their own prices inconsistently and both readings are given in the entry: Productive and Teamwork.com.
- Customer counts and outcome figures are vendor claims and are labelled as such: BigTime's 3,000+ firms, Scoro's 1000+, Productive's 2,000+, Teamwork.com's 20,000+, Certinia's 1,400, Unanet's 4,000+ or 4,200, and every utilization, margin and forecasting uplift quoted.
- The independent figures on this page come from the United States Census Bureau Quarterly Services Survey, release CB26-146 published 9 September 2026, and the Bureau of Labor Statistics Current Employment Statistics series CES6054000001, both read 7 October 2026. No saving is claimed on any firm's behalf.
- All annual cost arithmetic on this page is ours, calculated from the published per user rates for ten people, and is labelled where it appears. No vendor has confirmed a total cost figure for any firm.
- Scores are capped at 9.4 under the published methodology and no entry is perfect. Rank order changes when a vendor publishes a price it currently hides or names the live numbers its dashboards show, and this page is re-read every 90 days.
